The purpose of this notice is to establish the data management principles and privacy measures applied by MELÓ-DIÁK North Transdanubia School Cooperative in relation to the website located at https://www.eduinhungary.hu, in accordance with applicable laws. The information regarding the processing and protection of personal data, as prescribed by the Regulation (EU) 2016/679 of the European Parliament and of the Council (hereinafter: “GDPR”), must be concise, transparent, understandable, and easily accessible.
This data management notice includes the rules regarding the processing of personal data in relation to the services provided within the framework of this website, information on data processing, including the management of applicants’ personal data and data processing related to the agents involved in recruitment.
By utilizing the services provided within the framework of this website, users accept the terms of this notice.
The scope of this notice extends to all data processing carried out by the data controller involving the processing of personal data, regardless of the nature of the personal data or the scope of the data subjects. A data subject is defined as anyone whose personal data is processed by the Data Controller. The term will be used in this sense hereafter.
The personal scope of this notice extends to all employees of the Data Controller.
2. General Provisions
In every case concerning the processed personal data, we ensure the legality and purpose limitation of the data processing, and we provide immediate information to the data subject regarding the processing of their personal data and its conditions. The purpose of this notice is to provide registrants on our website and other affected individuals with adequate information before they provide their personal data about the conditions and guarantees under which the Data Controller manages their data and for how long.
The relevant Data Controller adheres to the provisions contained in this notice in every case involving personal data processing. Naturally, we reserve the right to change the information contained in this unilateral declaration, but we will always do so with appropriate notification to the data subjects.

3. Management of Data for Inquiries Made Through the Website or Other Channels
The Data Controller promotes the programs available to foreign students at Hungarian universities for recruitment purposes based on the information published on the eduinhungary.hu website.
Data Controller of Personal Data: the Data Controller
Purpose of Data Processing: recruitment of students for Hungarian universities
Legal Basis for Data Processing: the prior consent of the data subject and, for individuals under the age of 18, their legal representative (GDPR Article 6(1)(a))
Scope of Data Subjects: individuals inquiring on the eduinhungary.hu website or who have contacted through other communication channels, as well as their legal representatives in the case of individuals under the age of 18.
Types of Personal Data Processed:
- Last name, first name, email address, phone number, citizenship
Duration of Data Processing: The duration of personal data processing extends until the explicit consent of the data subject is withdrawn. As soon as the data subject indicates to the Data Controller that they no longer wish to be registered as a user in the Data Controller’s records after a specified date, the Data Controller will delete the data subject’s personal data within 30 days. The data subject acknowledges that the Data Controller is still obligated to process their personal data if required by law or by a local government ordinance based on legal authorization for a public interest purpose (hereinafter: mandatory data processing) until the deadline specified in the legal regulation. In the case of mandatory data processing, the types of data to be processed, the purpose and conditions of data processing, the transparency of the data, the duration of data processing, and the identity of the data controller are determined by the law or the municipal ordinance that mandates the data processing.
If the inquirer does not continue the application process, the data will be processed until the end of the second year following the application. Before the deadline expires, the Data Controller will contact the data subject via email to ask whether they wish to remain a registered user. If the data subject does not respond or requests the deletion of their data, the Data Controller will delete the data subject’s data.
Recipients: The processed personal data can only be accessed by authorized employees within the Data Controller’s organization who are involved in their work, as well as designated staff of the data processors.
Engagement of Data Processors: The Data Controller uses data processors for the establishment and maintenance of the registration database and for maintaining contact with interested individuals as follows.

Possible consequences of failing to provide data: Providing data is voluntary. If mandatory data is not provided, registration will not occur, and the regionally competent Data Controller will not be able to offer educational opportunities.
Rights of the data subject in brief: The data subject (the individual whose personal data is processed by the Data Controller) has the right to:
- request access to their personal data,
- request rectification of their personal data,
- request deletion of their personal data: requesting deletion of data or the subsequent deletion of data does not affect the lawfulness of data processing based on consent prior to withdrawal;
- request a restriction of processing of personal data under the conditions laid out in Article 18 of the GDPR – particularly if the data subject disputes the accuracy of the data processing, considers the processing unlawful, or objects to the processing – so that the Data Controller does not delete or destroy the data until a court or authority requests it, but for no longer than thirty days, and thereafter, not to process the data for other purposes,
- object to the processing of personal data,
- exercise the right to data portability. Under this right, the data subject is entitled to receive their personal data in Word or Excel format, and is entitled to request that this data be transmitted to another data controller.
- lodge a complaint with the supervisory authority or seek judicial remedy as outlined in the section “Rights of the data subjects and remedies” of this information.

We provide our data with modern physical and IT protection. The general terms and conditions, privacy statements, and contracts with data processors provide high-level guarantees for lawful and secure data processing.
4. Processing of Applicants’ Data
The processing of the provided personal data is necessary to support the successful application process to the selected higher education institution in Hungary. The Data Controller processes the personal data of the members to the necessary extent in connection with this.

Purpose of data processing: offering educational opportunities and supporting the admission process
Legal basis for data processing: the prior consent of the data subject, including the voluntary provision of the documents necessary for the desired application to the selected higher education institution
Scope of data subjects: individuals inquiring on the eduinhungary.hu website or those who have contacted us via other communication channels, who wish to apply for a program advertised by a Hungarian university following prior information.
Scope of processed personal data:
Last name, first name, birth name, place of birth, date of birth, mother’s name, gender, nationality, country, exact address, place of residence, mailing address, passport number, place of issue and expiration date, copy of passport, email address, phone number, Skype ID, highest educational qualification and a copy of the official document (official translation into English), language exam certificate (official translation into English), CV (with qualifications), motivation letter, references, desired start date and program of study, job interests, proof of mandatory payments (application fee, first 2 semesters’ fees), social security number, tax identification number, bank account number, health insurance, visa, admission notification, emergency contact information of a family member in case of an accident.
Duration of data processing:
The Data Controller processes the provided personal data until the following deadlines:
- If the data subject is not successfully admitted to a Hungarian higher education institution or does not begin their studies following a successful admission decision, the data will be processed until the end of the 2nd year from the expected start of studies, in order to inform the applicant about further relevant opportunities.
- If the data subject is successfully admitted to a Hungarian higher education institution and duly begins their studies, the data will be processed until the end of the 2nd year following the completion of their studies.
Recipients: The processed personal data will only be accessed by authorized employees within the Data Controller’s organization who are involved in this process. The personal data of applicants may also be accessed by designated employees of data processors. Certain personal data of the applicants will be transferred to our clients. The personal data transferred includes the applicant’s name, place and date of birth, CV, and any additional personal data specified by the applicant therein. Based on the above, the motivation letter, certificate, and language exam certificate will also be included. The recipients are those Hungarian higher education institutions listed on the website that have contracted with the Data Controller for service provision.
Use of data processors: The Data Controller engages data processors to establish and maintain the registration database and to communicate with interested individuals as follows.

Possible Consequences of Not Providing Data:
If the data is not provided, the Data Controller will not be able to forward the applicant’s application to the selected Hungarian higher education institution.
Briefly on the Rights of the Data Subject:
The data subject (the person whose personal data is processed by the Data Controller) has the right to:
- Request access to their personal data,
- Request the correction of their personal data,
- Request the deletion of their personal data,
- Request the restriction of processing of personal data under the conditions set out in Article 18 of the GDPR (i.e., the Data Controller should not delete the data or destroy it until a court or authority has requested it, for up to thirty days, and should not process the data for any other purpose),
- Object to the processing of their personal data,
- Exercise their right to data portability. This means the data subject is entitled to receive their personal data in Word or Excel format and has the right to request that this data be transferred to another data controller.
- Submit a complaint to the supervisory authority regarding the information provided in this notice under the section “Rights of the Data Subjects, Legal Remedies.”

We provide modern physical and IT security for our data. The general terms and conditions and privacy statements of the data processors, along with the contracts concluded with them, ensure a high level of guarantees for lawful and secure data processing.
5. Personal Data Processing for Marketing Purposes – Sending Newsletters
Based on the explicit consent of the data subject, the Data Controller sends marketing notifications to the provided email address. This activity appears as a separate data processing purpose.

Duration of Data Processing:
The duration of personal data processing lasts until the data subject withdraws their explicit consent. As soon as the data subject indicates to the Data Controller that they no longer wish to be included in the newsletter database after a certain date, the Data Controller will cease processing the data as specified in this section.
Recipients:
The personal data processed will be known only to authorized employees of the Data Controller’s organization, as well as to authorized employees of data processors outside the Data Controller’s organization.

Possible consequences of not providing data: Data provision is voluntary and based on the consent of the data subject. If the provision of data is not fulfilled, the Data Controller will not send marketing newsletters to the data subject.

- can request the restriction of the processing of their personal data if the conditions in Article 18 of the GDPR are met (i.e., that the Data Controller does not delete or destroy the data until a court or authority requests it, but for no more than thirty days, and does not process the data for other purposes);
- can object to the processing of personal data,
- can exercise their right to data portability. According to this right, the data subject is entitled to receive their personal data in Word or Excel format, and is also entitled to request that these data be transferred to another data controller.
They are entitled to submit a complaint to the supervisory authority according to the provisions in the “Rights of data subjects, remedies” section of this notice.

Our data is protected by modern physical and IT security measures. The general terms and conditions, privacy statements, and contracts with data processors provide high-level guarantees for lawful and secure data processing.
The data subject can withdraw their consent to data processing at any time. They can unsubscribe from the newsletter at any time by clicking on the “unsubscribe” label/icon in the newsletter. The Data Controller will terminate data processing simultaneously with the unsubscription.
6. Web analytics, cookie, and local storage management on the website
To measure the website’s traffic, monitor visitor behavior, create statistics, and analyze advertising effectiveness, we use Google Analytics, AdWords Conversion Tracking, and HotJar programs.
The referenced programs place so-called cookies on the user’s computer, which collect user data. Visitors to the site consent to the monitoring and tracking of their behavior and the use of all services provided by the programs for the Data Controller. Additionally, users have the option to disable data recording and storage of cookies in the future as described below. We inform our users that the settings and use of the programs listed comply fully with the requirements of the data protection authority.
According to Google, Google Analytics primarily reports visitor interactions on the website using first-party cookies. These cookies only record non-personally identifiable information. Browsers do not share their cookies across domains.
Google Analytics:
The website www.melodiak.hu uses Google Analytics primarily to produce statistics, including measuring the effectiveness of its campaigns. By using the program, the Data Controller mainly obtains information about how many visitors have visited its website and how long the visitors have spent on the website. The program recognizes the visitor’s IP address, allowing it to track whether the visitor is a returning or new visitor and to track the path the visitor has taken on the website and where they have entered.
Google AdWords Conversion Tracking:
The purpose of Google AdWords Conversion Tracking is to allow the Data Controller to measure the effectiveness of AdWords advertisements. This is done using cookies placed on the user’s computer, which exist for 30 days and do not collect personal data.
Facebook and TikTok Pixel:
Our website uses Facebook and TikTok tracking pixels. These pixels allow us to measure and optimize the effectiveness of our advertisements and understand how our visitors use our website. The data collected by the Facebook and TikTok pixels is anonymized, so it cannot be associated with a specific user. We do not collect or store personal data with these pixels. The pixels are present on the site solely to obtain general information about our visitors’ behavior, which helps improve the effectiveness of our advertisements.
Disabling Cookies:
If you would like to manage cookie settings or disable the function, you can do so from your own user computer in your browser. This option can generally be found in the menu for placing cookies/tracking functions, depending on your browser’s toolbar; typically, it can be adjusted under Tools > Settings > Privacy Settings, where you can enable/disable which tracking functions your computer allows.
Users who do not wish for Google Analytics to report their visit can install the Google Analytics Opt-out Browser Add-on. This add-on instructs the Google Analytics JavaScript (ga.js, analytics.js, and dc.js) not to send visit information to Google. Additionally, visitors who have installed the Opt-out Browser Add-on will not participate in content experiments.

7. Management of contact data of business partners
The Data Controller provides services to numerous business partners. They maintain regular contact with these companies to further improve cooperation and ensure the high quality of services provided to them. The Data Controller manages the contact data of business partners as follows:

- Legal basis for data processing: Fulfillment of the contract concluded with the business partner (GDPR Article 6(1)(b)).
- Scope of processed personal data: Name, contact information (phone, email address)
- Duration of data processing: Until the end of the 2nd year following the contractual relationship
Rights of the data subject: The data subject (the person whose personal data is processed by the Data Controller)
- i) can request access to their personal data,
- j) can request the correction and precision of their personal data,
- k) can request the restriction of the processing of their personal data if the conditions in Article 18 of the GDPR are met (i.e., that the Data Controller does not delete or destroy the data until a court or authority requests it, but for no more than thirty days, and does not process the data for other purposes),
- l) can exercise their right to data portability. According to this right, the data subject is entitled to receive their personal data in Word or Excel format, and is also entitled to request that these data be transferred to another data controller.
Other information regarding data processing: The Data Controller stores documents containing personal data in a closed, secure location, and electronically stored documents are protected by appropriate security measures. The provided data can only be processed by designated employees of the Data Controller.
8. Other data processing
For data processing not listed in this notice, information will be provided at the time of data collection. We inform our clients that certain authorities, public bodies, and courts may request personal data from the Data Controller. The Data Controller will only release personal data to these bodies to the extent that the requesting body specifies the exact purpose and scope of the data, and only to the extent necessary to fulfill the purpose of the request, and if the fulfillment of the request is prescribed by law.
9. Method of storing personal data, data processing security
Our IT systems and other data storage locations are located at the Data Controller’s premises and on rented servers. The Data Controller selects and operates the IT tools used for processing personal data in such a way that the processed data:
- is accessible to authorized persons (availability);
- ensures authenticity and authentication (data processing authenticity);
- is verifiable for integrity (data integrity);
- is protected against unauthorized access (data confidentiality).
We pay particular attention to data security and take the necessary technical and organizational measures to ensure the implementation of the guarantees provided by the GDPR. The data is protected by appropriate measures against unauthorized access, alteration, transmission, disclosure, deletion, or destruction, as well as accidental destruction or damage, and inaccessibility resulting from changes in the technology used.
Both our and our partners’ IT systems and networks are protected against computer-assisted fraud, computer viruses, computer breaches, and denial-of-service attacks. The operator ensures security through server-level and application-level protective procedures. Daily security backups are implemented. To prevent data protection incidents, the Data Controller takes all possible measures and, in the event of such an incident, acts promptly according to our incident management policy to minimize risks and mitigate damages.
10. Rights of Data Subjects and Legal Remedies
Data subjects have the right to request information regarding the processing of their personal data and to ask for corrections, deletions, and withdrawal of consent, along with exercising their rights related to data portability and objection as indicated at the time of data collection and via the Data Controller’s contact information.
Upon request, the Data Controller will provide the information electronically without delay, but no later than 30 days, in accordance with our relevant policies. Requests from data subjects for the fulfillment of the rights listed below will be carried out free of charge.
Right to Information:
The Data Controller takes appropriate measures to ensure that all information concerning the processing of personal data, as mentioned in Articles 13 and 14 of the GDPR, and every individual notification according to Articles 15-22 and 34, is provided to data subjects in a concise, transparent, intelligible, and easily accessible form, clearly and in plain language, while also being precise.
The right to information can be exercised in writing through the contact details provided in point 1. Upon request, the Data Controller may also provide information verbally after verifying the data subject’s identity. We inform our clients that if the Data Controller’s staff have doubts about the identity of the data subject, we may request information necessary to confirm the identity of the data subject.
Right of Access:
Data subjects are entitled to receive feedback from the Data Controller on whether their personal data is being processed. If personal data is being processed, they have the right to access their personal data and the following information: the purposes of data processing; categories of personal data concerned; categories of recipients with whom personal data has been shared or will be shared, particularly including third-country recipients (outside the European Union) and international organizations; the planned duration of storage for personal data; rights to rectification, deletion, or restriction of processing and the right to object; the right to lodge a complaint with a supervisory authority; information on data sources; the existence of automated decision-making, including profiling, and understandable information regarding the logic involved and the significance and expected consequences of such processing for the data subject. In the case of transferring personal data to a third country or international organization, the data subject has the right to be informed about the appropriate safeguards related to the transfer.
Right to Rectification:
Under this right, anyone can request the rectification of inaccurate personal data concerning them and the completion of incomplete data processed by the Data Controller.
Right to Deletion (Right to be Forgotten):
Data subjects are entitled to request the deletion of their personal data without undue delay if any of the following grounds apply:
- Personal data is no longer necessary for the purposes for which it was collected or processed in another manner;
- The data subject withdraws their consent, and there is no other legal basis for the processing;
- The data subject objects to the processing, and there are no overriding legitimate grounds for the processing;
- Unlawful processing of personal data can be established;
- Personal data must be deleted to fulfill a legal obligation applicable to the Data Controller under Union or Member State law;
- The personal data was collected in connection with the offering of information society services.
Data deletion cannot be initiated if the processing is necessary for the following reasons: to exercise the right to freedom of expression and information; to fulfill a legal obligation applicable to the Data Controller under Union or Member State law, or for the performance of a task carried out in the public interest or in the exercise of official authority vested in the Data Controller; for public health purposes, or for archiving, scientific, and historical research purposes or statistical purposes based on public interest; or for the establishment, exercise, or defense of legal claims.
Deletion of personal data from the database is only possible upon a written request, which will be completed within 30 days of receipt. Such requests should be sent to the customer service office that registers the data or by email to the email address of the competent Data Controller (adatkezeles.eszak@melodiak.hu).
Right to Restrict Processing:
At the request of the data subject, we will restrict processing in cases specified in Article 18 of the GDPR, that is, if:
- the data subject disputes the accuracy of the personal data, in which case the restriction applies for the period necessary to verify the accuracy of the personal data;
- the processing is unlawful, and the data subject opposes the deletion of the data and instead requests a restriction on its use;
- the Data Controller no longer needs the personal data for processing purposes, but the data subject requires it for the establishment, exercise, or defense of legal claims; or
- the data subject has objected to the processing; in this case, the restriction applies for the period necessary to determine whether the legitimate interests of the Data Controller override those of the data subject.
If the processing is restricted, personal data may only be processed, except for storage, with the consent of the data subject, or for the establishment, exercise, or defense of legal claims, or for the protection of the rights of another natural or legal person, or for reasons of substantial public interest of the European Union or a member state. The data subject must be informed in advance of the lifting of the restriction on processing.
Right to Data Portability:
The data subject has the right to receive the personal data concerning them, provided to the Data Controller, in a structured, commonly used, and machine-readable format, and to transmit those data to another data controller. The Data Controller can fulfill such a request from the data subject in Word or Excel format.
Right to Withdraw Consent:
The data subject has the right to withdraw their consent at any time. The withdrawal of consent does not affect the lawfulness of processing based on consent before its withdrawal.
Procedural Rules:
The Data Controller shall inform the data subject, without undue delay and in any case within one month of receiving the request, of the actions taken in response to requests made under Articles 15-22 of the GDPR. If necessary, taking into account the complexity of the request and the number of requests, this period may be extended by an additional two months. The Data Controller shall inform the data subject of the reasons for the delay within one month of receiving the request.
If the data subject submitted the request electronically, the information shall also be provided electronically, unless the data subject requests otherwise.
If the Data Controller does not take action in response to the data subject’s request, they shall inform the data subject without delay, and in any case no later than one month from the receipt of the request, of the reasons for not taking action and that the data subject has the right to lodge a complaint with the supervisory authority and to seek judicial remedy.
The Data Controller shall inform every recipient to whom personal data has been disclosed of all rectifications, deletions, or restrictions of processing carried out, unless this proves impossible or requires disproportionate effort. The Data Controller shall inform the data subject of these recipients at their request.
Compensation and Damages:
Any person who has suffered material or non-material damage as a result of a violation of the data protection regulation is entitled to compensation from the Data Controller or the data processor for the damage suffered. The data processor is liable for damages caused by processing only if it has not complied with the obligations specifically imposed on data processors by law, or if it has disregarded or acted contrary to the lawful instructions of the Data Controller. If multiple data controllers or multiple data processors or both the Data Controller and the data processor are involved in the same processing and are liable for damages caused by the processing, each data controller or data processor shall be jointly liable for the entire damage.
The Data Controller or data processor shall be exempt from liability if they can prove that they are not at fault for the event causing the damage.
Right to Legal Recourse and Data Protection Authority Procedure:
In the event of a violation of rights, the data subject may seek legal action against the Data Controller. The court shall proceed with the matter as a matter of urgency.
